Job Description

Summary: The University of Missouri-Columbia is seeking a highly organized and self-directed individual for the position of Program/Project Support Coordinator I. This role is essential in supporting the Teaching for Learning Center by ensuring programs, services, and events run smoothly, while also serving as a central point of connection between the team and campus guests. Responsibilities: - Program and Event Coordination - Prepare physical and virtual spaces, materials, and technology for meetings, trainings, and events - Create, manage, and monitor registration and feedback forms - Coordinate logistics for sessions, including catering, room setup, and technology support (in-person and Zoom) - Track and monitor cohort participation and program attendance - Support pre- and post-event communications, surveys, and reporting - Compile and prepare basic reports related to registration, participation, and feedback - Collaboration with student employees support of above - Communication and Marketing Support - Monitor and manage the department email account - Monitor and update the department website - Prepare announcements, signage, and basic marketing materials - Create and distribute mass email communications using the Dotdigital platform, under supervisor guidance - Follow established event communication procedures to ensure timely and consistent outreach - Communicate with guest hosts regarding event needs and logistics - Operations and Administrative Support - Greet and assist all guests and patrons, ensuring a welcoming environment - Keep staff informed of scheduled activities and events in the center by hosting a weekly meeting - Maintain marketing materials, supply inventories, (including books) and shared spaces - Keep the catering kitchen and coffee bar clean, stocked, and organized - Monitor, order, and reconcile operational and event-related purchases - Maintain purchasing documentation and receipts - Liaise with Shared Services for purchasing, scheduling, and administrative support - Maintain familiarity with moderate on-site technology support (Zoom, Office 365 administration, CRM leverage, etc.) - Scheduling and Coordination - Create and monitor polls with internal and external stakeholders - Assist with booking travel, maintaining records, and managing files - Schedule space usage and coordinate guest technology needs - Continuous Improvement and Support - Perform standard assignments using established procedures and recommend improvements for efficiency, resourcing, and service delivery - Assist in the development and implementation of programs and projects with guidance from senior staff - As scheduling volume increases, contribute to decision-making related to operational efficiency and effectiveness - Recommend technology and process improvements that enhance program delivery - Collaborative Engagement - Exchange concise and accurate information with staff, faculty, and guests to support meetings and events - Develop and maintain productive working relationships with internal teams and external partners - Provide general administrative and programmatic support as needed - Perform other duties as assigned Required Qualifications: - A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary Preferred Qualifications: - 1 year minimum, 3 years preferred experience in event planning and customer service Required Skills: Event Planning, Customer Service Important Skills: Office 365, Zoom Nice-to-Have Skills: Coordination, CRM, Communication Benefits: Medical, dental and vision plans, Retirement, Paid time off, Short- and long-term disability, Paid parental leave, Paid caregiver leave, Educational fee discounts for all four UM System campuses
