Job Description

The Executive Assistant in Radiation Oncology will manage scheduling and administrative tasks for the oncology team, ensuring operational efficiency and quality patient care. Responsibilities: - Manage complex scheduling and administrative logistics for Radiation Oncologists and Medical Physicists to ensure seamless clinical operations and uninterrupted patient care - Oversee the departmental billing process and purchase orders with precision, ensuring that the resources needed for life-saving treatments are always available and properly documented - Coordinate high-level meetings and record critical proceedings, following up on action items that keep the oncology team aligned on practice quality and accreditation standards - Manage the secure transmission of end-of-treatment notes to referring physicians and coordinate outside consults, ensuring patients experience a smooth transition throughout their recovery journey - Support essential front-end functions and timekeeping (Kronos) to maintain consistent staffing levels and clinical productivity during transitions Required Qualifications: - High School diploma equivalency OR 1 year of applicable cumulative job specific experience required - Required professional licensure/certification can be used in lieu of education or experience, if applicable Preferred Qualifications: - Advanced Administrative Expertise: Proven experience supporting executive or clinical leadership, with a mastery of complex calendar management and travel coordination - Healthcare Revenue Cycle Knowledge: Demonstrated proficiency in medical billing processes, authorization coordination, or clinical documentation oversight - Organizational Command: Expert-level capability in managing specialized software (such as Kronos for timekeeping) and preparing data for healthcare accreditation and quality improvement projects Required Skills: Advanced Administrative Expertise, Healthcare Revenue Cycle Knowledge, Organizational Command Important Skills: Kronos Nice-to-Have Skills: Communication Skills Benefits: Comprehensive health coverage: medical, dental, vision, prescription coverage and HSA/FSA options, Financial security & retirement: employer-matched 403(b), planning and hardship resources, disability and life insurance, Time to recharge: pro-rated paid time off (PTO) and holidays, Career growth: Ascension-paid tuition (Vocare), reimbursement, ongoing professional development and online learning, Emotional well-being: Employee Assistance Program, counseling and peer support, spiritual care and stress management resources, Family support: parental leave, adoption assistance and family benefits, Other benefits: optional legal and pet insurance, transportation savings and more
